1. Check in

Every student that is going to fulfill a traineeship within the Molecular Chemistry Cluster at the Radboud University Nijmegen has to check in first. This means that the check-in form the Internship Agreement and the Confidentiality Agreement have to be filled in and signed.

2. Basics

The Molecular Chemistry Cluster allows flexible working hours although it is most common to work between 8.30 and 17.30. It is important to note that you are not allowed to be alone in the lab, therefore you must always make sure that there is another member of the cluster within seeing or hearing distance from the fume hood.

Between 18.00 and 8.00 h, the doors of the building are locked, after 19.00 h it is necessary to use a pass to leave the building. For PhD students, post-docs and other staff members a pass can be obtained at the secretariat, undergraduate students can obtain one with written permission from their work group leader.

There is an in/out-board attached to the entrance door of each wing with the names of PhD students, post-docs and permanent staff members . It is important that whenever you are in the building, you mark yourself as in and whenever you go outside the building, you mark yourself as out.

3. Illness

4. Safety

This manual contains a section on safety, which gives information on safe working procedures, and what to do in case of an accident. Please read this carefully.

There are several important obligatory rules:

It is strictly forbidden to work alone in the lab.
Always make sure that there is another member of the cluster within seeing or hearing distance from the fume hood.

Each lab has its own Safety Steward (see list of room responsibles) who is responsible for the safety in the lab. If anyone is not following the correct safety procedures, it is their responsibility to report this to that particular person and the relevant work group leader. Furthermore, in each lab there is a Lab Steward who is responsible for the ins and outs of the lab (including tidiness) in particular at the end of the day. The Lab Steward (or a person asigned by him/her) checks at the end of the day whether the used equipment (in that specific lab) is switched off and the night experiment cards are filled in correctly and placed in the designated holders. The Lab Steward is also responsible for the lab cleaning e.g. by organizing a Lab Cleaning Days (LCD's) before collective holidays.

5. Laboratory practice

A few important rules:

  • Leave equipment clean and tidy behind after use.
  • Report any defective equipment to the responsible person.
  • Close the fume hoods and turn off the light at the end of the day (IMPORTANT: make sure the fume hoods are entirely closed because at night they work at only 30% of their capacity!).
  • Switch off all equipment at the end of the day. If you have to carry out a night experiment, leave a card on the front of the fume hood. This card has to be filled in completely. Depending on the kind of experiment use a red, green or yellow card (the card itself informs you which one you should use). The last person to leave the lab (the Lab Steward or a person assigned by him/her) collects the cards and places them in the correct position in the holder at the entrance of the lab. IMPORTANT: The person who carries out the night experiment has to take his own card from the holder the next morning.
    It is important to be aware that the purpose of the card-system is to inform emergency teams about possible risks before entering a lab outside working hours. Therefore the cards covering the night experiments must be on display in the holdere outside the lab at night, and there must be no cards on display that do not cover an experiment. The cards of experimentors, who repeatedly incorrectly use them, will be taken by the Safety Committee.
  • Before using unfamiliar equipment ask your mentor or the responsible person for that particular instrument (see list of machines).
  • Clean the lab frequently.

6. Ordering chemicals

The program used for ordering chemicals, both internal and external orders, is Tracelab (Manual). PhD-students, post-docs, and permanent staff members can obtain a password for this program.
For BSc- and MSc-students there is a password avialable (Login: student | Password: radboud). This student login enables to search for chemicals, chemical properties. It is neither possible to order chemicals with this login, nor to see where the chemicals are stored. If an undergraduate student needs to order chemicals he/she has to ask his mentor.
Internally ordered chemicals will be delivered, twice per day, in the Logistic Transfer Rooms. Externally ordered chemicals will be delivered in the fume hood of the person who ordered a particular chemical (make sure that you fill in your fume hood number).

8. Semester report

Twice a year, in October and April (deadline: first monday of the month!), the Molecular Chemistry Cluster publishes a report, because it remains essential that we communicate to each other about our chemistry within the cluster and the reports serve an important role as showcase of our achievements to the outside world. This means that every member (including BSc- an MSc-students) of the Molecular Chemistry Cluster actively involved in research has to write a one/two page summary of their research topic and current results. Important: This is obligatory to everyone, so also in case you work on a confidential project. Confidential work (to be determined by your mentor/work group leader) will be collected in a separate booklet (limited edition) which can be read upon request.

The format of the scientific reports as follows:

  • Two page maximum (A4)
  • Use format: font arial, title bold (size 12) followed by your name (in brackets), body text size 10
  • Margins 2.5 centimeter, line-spacing 1.5
  • Name your word-file as follows: sr0501_yourgroupleadersinitials_yourlastname
    (yoursupervisorsinitials:RN = Nolte, FR = Rutjes, JvH = van Hest, AR = Alan Rowan)
  • Pictures:
    • Do NOT use color pictures but convert to B&W to avoid unnecessary large files.
    • Always place pictures 'in line with text' (define with Format Object Layout), so pictures don't move all over the place.
    • We will select one fine picture for the front of the scientific report
  • Have your scientific report checked by your group leader
  • Convert your document to PDF and check everything looks correct
  • E-mail your report to me as attachment

9. Computers

Computers are for academic use and should be used responsibly. Each person is responsible for making sure that the computer he/she is using has an up to date virus scanner installed and that his/her work is regularly backed up. Firewall: windows XP has an internal firewall but you can also download ZoneAlarm for free from the web. All shared folders on the network should be read-only. Software for computers can be obtained via this link and there is cluster software available on the computer "Curium". It is only possible to access this computer within the network of the cluster. Type "\\curium" in your browser and you will find a map called legal software. Underneath you will find a short list of some of the available software on Curium and some useful links.

There are two lists of machines: one sorted by roomnumber and one sorted alphabetically.

Important: Do not use any equipment if you do not know how this works. Ask the responsible person to introduce you to this device. For some equipment (e.g. NMR, GC-MS) a shortcourse is obligatory.

12. Check out

There are several things that have to be done prior to permanently leaving the Molecular Chemistry Cluster.

Checklist: There is a checklist for people who are leaving the cluster. You obtain it from the secretary upon arrival, but you can also print this pdf-file (Appendix B: Checklist for leaving the cluster). Some importants issues on that list are discussed in more detail below.

Chemicals: All products that you want to keep after you leave should be well labelled with your name, the date it was made, an experimental reference number, a structural formula and stored in containers. Anything left in round-bottom flasks or not properly labelled will be thrown away. Make sure that you make a sample file which contains structures, purities, quantities and locations of the products and handed over to your mentor.

Data: All data on computer should be burnt to CD and one copy given to your mentor, one to your work group leader and one for the archive. Then everything should be erased from the cluster's computers, and all email accounts etc on windows should be removed. This includes all instrument computers such as the CD spectrometer etc. Inform the administrator(s) that all data have been backed up and can be deleted. Anything required for the writing of reports or theses should be copied and removed, unless the report is being written in the cluster. All paper data should be given to the work group leader upon completion of the report or thesis.

Door pass: The door pass must be returned, not only to prevent unauthorized entry to the lab by people that no longer work in the cluster, but also because it is expensive.
